Office Policies

Cancellation / “No Show” Policy

We strive for the BEST care for all our patients. We request that if you should need to cancel an appointment, please give at least 24 hours’ notice. This will allow our team to provide assistance to another child in need of medical care. If you arrive more than 15 minutes after the scheduled start time of your appointment, you may be asked to reschedule, as this is not fair to the families scheduled after you. We are providing care to many children daily and thus “no shows” and showing up late greatly affect our ability to address all our patient’s needs. If you have more than three “No Shows”, you may be dismissed from our practice.

Prescription Refill Policy

Prescription refill requests can be done via the MyChart portal or by calling your pharmacy or our office. All prescription medication refill requests should be done during our normal weekday business hours Monday-Friday 8:00-4:30pm. Please have your child's name, date of birth, medication name, current dosage and pharmacy information available when you contact us. Over the weekend, we do not refill medications via MyChart or telephone. Please give our office 24-48 hours to have the prescription request processed.

Vaccine/Preventative Care Policy

Waukesha Pediatric Associates firmly believe in preventative care and the effectiveness of vaccines to prevent serious illness and to save lives. We firmly believe in the safety of vaccines. We firmly believe that all children and young adults should receive all the recommended vaccines according to the schedule published by the Centers for Disease Control and Prevention and the American Academy of Pediatrics.

Because we are committed to protecting the health of your children, we are moving towards requiring our patients to be vaccinated. Starting in the year 2024, we will be requiring all new patients to be vaccinated. We will no longer accept patient families who have no intention of vaccinating their children. If you are requesting an altered vaccine schedule, we will require initiation of vaccines by 6 months with a plan to complete primary vaccine series by two years of age. We will also not accept transfer of unvaccinated new patients over 6 months of age into our practice. Children who transfer to Waukesha Pediatrics will be given 30 days in which to provide confirmation of all childhood vaccines that are due per the State of Wisconsin vaccine schedule dhs.wisconsin.gov/library/collection/p-44021 or will need to initiate those vaccines within those 30 days.

If you should absolutely refuse to vaccinate your child or schedule wellness visits despite our efforts, we will ask you to find another healthcare provider who shares your views. We do not keep a list of such providers, nor would we recommend such practitioners. Please recognize that by not vaccinating, you are putting your child (and the additional children and families of our practice) at unnecessary risk for life-threatening illness, disability, and even death. As medical professionals, we feel very strongly that vaccinating your child on schedule with currently available vaccines is absolutely the right thing to do to protect all children and young adults. Chaperone Policy

WPA is sensitive to the needs for patient comfort and privacy during our office visits. There are times during a child’s growth and development that more sensitive exams are necessary. We will perform physical examinations of infants, toddlers and children with a parent or guardian present. When a parent or guardian is not available, or when a patient requests it, a chaperone may be present. In addition, the doctor may request a chaperone be present if appropriate. A chaperone is clinical staff including doctors, nurses and medical assistants that serve as a witness to the examination taking place. A chaperone may be present for sensitive physical exams/procedures. A sensitive physical examination/procedure means a visual inspection or physical examination that involves placement of fingers(s), swabs, or medical equipment on or into the vagina, labia, penis, testicles, urethra, or rectum, perineal assessment that involves inspection of the vaginal vault, cervical assessment, or palpation of the breast of a female patient.
